About this document

A company property return receipt lists what you handed back — laptop, badge, keys, card — with a signature saying so. Sixty seconds of paperwork that prevents the "our records show you still have a laptop" email in month three.

When to use it

  • Your last day, at the moment things physically change hands.
  • Returning equipment by mail, where the paper trail matters even more.
  • Any handback of employer property, exit or not.

Getting it right

  • Serial numbers for anything that has one — "a laptop" and "laptop SN C02XK1" age very differently.
  • Note condition briefly where it matters ("screen scratched — reported in May").
  • Keep your signed copy somewhere that survives losing access to work accounts — which is exactly what's about to happen.

It documents the handback — deposits, deductions and damage questions are a separate conversation; this just makes sure that conversation starts from facts.

Common questions

Who signs it?
Whoever physically receives the items — IT, the office manager, your manager. The name and date matter more than the title.
Mailing the equipment back?
List the tracking number as an item, photograph the box contents, and send the PDF to HR the same day.
Something's lost — do I leave it off?
The opposite: put it on the form and say so. A listed, acknowledged gap beats a discovered one.
