About this document
An invoice is the document that asks a client to pay: who's billing whom, for what, and by when. This one adds up line items, applies the tax rate you enter, and downloads as a clean one-page PDF or Word file with your numbering.
When to use it
- The work is delivered (or a milestone hit) and it's time to bill.
- A client asks for "a proper invoice" before their bookkeeper will pay you.
- You billed by email once and want something that looks like a business did it.
Getting it right
- Keep one numbering scheme (INV-1001, INV-1002…) — future-you reconciling payments will be grateful.
- A due date beats "payable on receipt": vague timing is the most common reason payment drifts.
- Describe lines the way the client talks about the work — they approve faster when they recognize it.
It's not a payment processor or a contract — it requests payment under whatever agreement you already have.

Common questions
- Invoice or receipt — which one do I send?
- Invoice before the money moves, receipt after. If they've already paid, skip straight to the receipt.
- Do I need a tax ID on it?
- Many small businesses invoice with just their business name and contact. If your client's accounting team needs more, they'll tell you exactly what — add it in the contact block.
- Can I edit it after downloading?
- Yes — the Word version stays editable, and you can re-open this page and re-download any time; your draft survives a refresh and stays in this tab for up to three hours.
